You, as a volunteer, should use them in any cases of Code of Conduct violations or members experiencing challenges related to mental health.

Level 1 Violation DM

Hi there! I'm writing to let you know that you have violated Out in Tech's Code of Conduct by [reference of violation, link to Slack message]. We simply ask that you remove the message(s) and review the Code of Conduct for future reference. Let me know if you have any questions!

Level 2 Violation DM

Hi there! I'm writing to let you know that you have violated Out in Tech's Code of Conduct by [reference of violation, link to Slack message]. This type of content goes against our guidelines and negatively affects the space we are creating. Please remove the message and let me know if you have any questions about this; we want to make sure that you understand why this goes against our Code of Conduct. Note that a second violation like this will result in a removal from the workspace.

Ban message email

Hi there, This is a message to let you know that you have violated Out in Tech's Code of Conduct (which you had agreed to upon joining) by [reference of violation, link to Slack message]. This offense results in an immediate removal from the Out in Tech workspace.

You will be able to rejoin the Slack workspace in 6 months; when the time comes if you are interested in re-joining, please email [email protected] (you can also direct any questions there).

Message to address incident to broader Slack community

Hi Slack fam. I wanted to take a moment to address the interaction/message that happened [say when it happened.] We are not going to link to the incident, but it involved [explain briefly what happened without going into details, like 'it involved one of our members making a crude generalization about a group of people.'] We've since contacted the user and removed the message. For future reference, this went against Out in Tech's Code of Conduct, specifically [insert section]. We thoroughly apologize to anyone who had to read through these messages and was triggered by them. Please, please do not hesitate to reach out. Wishing you all a good and peaceful day!

De-escalation DMs

Conflict between 2 or more members: Hello (name), we (insert team name) appreciate you’re using this space to talk. We feel strongly that there can be dialogue, however we require that those exchanges be respectful and not be broad generalizations, including insults/slurs. Please review the Out in Tech Code of Conduct for further questions.

Member expressing struggles with mental health: Hi [name]. First off, thank you so much for sharing your experience and for trusting us (and this space) enough to tell us how you feel. We're here to support you, and are so sorry you're going through this. [then, offer to be resourceful: if they're struggling because unable to find employment 'Make sure to check out outintech.com/jobs and send me a DM if there is a position that you think may be a good fit' or if they're struggling with a homophobic remark at work: 'What you have experienced is not acceptable, and I'm hoping you can leverage this space to find resources & community.]
